Executive assistent
- Organizing & maintaining agendas, appointments, team meetings
- Organize meetings (onsite and offsite), effective administrative and logistical preparation
- Negotiate with external vendors to secure best prices
-Take and distribute meeting minutes as required
-Issue other preparatory materials, agendas, etc
-Manage international and local travel arrangements
-Make cost-effective choices in travel and entertainment arrangements
-Organise business expense claims for the functional Directors in line with ZBB travel & expense policies
-Create and distribute PO numbers for global cost centres
-Liaise with finance and vendors as needed to ensure smooth execution of payment, use of TradeShift, etc
-Proficiency with Outlook, MS Office, Word, Powerpoint and video-editing software
-Highly organised and proactive
-Team player, willing to step in as needed on a wide range of topics
-Able to juggle multiple priorities
-Accurate with strong attention to detail
-Confidence in negotiating with vendors taking a cost-conscious approach
-Creative skills with audio and visual content
-Diplomatic attitude and high integrity in dealing with confidential information
-Excellent communication and collaboration skills
-Fluent in English both written and verbally (Dutch is a bonus)
-Bachelor’s degree or equivalent, preferably in the direction of administration / support.
-At least 4 years of experience as assistant at director level.
-Experience working in an international and fast paced environment
